The Neon Museum, a non-profit organization in Las Vegas, is dedicated to preserving the city's rich history through its iconic neon signs. As the number of visitors grew, the museum faced challenges maintaining a seamless and engaging email communication experience. Partnering with the Five Jars team, they successfully connected all the necessary systems, including Tessitura and Prospect2 solutions. This transformation automated marketing communication efforts, improved visitor experiences, and streamlined internal operations.

The Neon Museum is a vibrant cultural institution located in Nevada, spanning an impressive 2.27-acre campus. This unique museum is dedicated to preserving and showcasing over 800 iconic signs from more than 200 properties, many of which represent the golden age of Las Vegas’s history. 

Each sign tells a story, capturing the evolution of design, artistry, and the city’s ever-changing landscape. Visitors can explore the famous Neon Boneyard, where these historic signs are displayed, and experience an immersive glimpse into Las Vegas’ rich past through the lens of neon artistry. The museum also features guided tours, special exhibits, and events.

Main challenges

The Neon Museum’s team faced a significant obstacle in efficiently reaching their visitors through personalized, behavior-driven email campaigns. Their existing customer database, powered by Tessitura, was connected to marketing software that was not able to send automated messages triggered by specific events. This limited the team’s ability to engage guests before, during, and after their museum visits and also required lots of manual work by the comms team.

Lack of Automation Capabilities

The current system didn’t allow building automated workflows, creating email templates, and sending messages triggered by events. Every campaign included multiple manual steps.

Data Synchronization Complexity

Connecting Tessitura with the required marketing automation platform was challenging due to its database complexity. It required the integration of an additional app ensuring data sync.

Security & Privacy Concerns

We had to ensure that all automated messages strictly adhere to data privacy guidelines, properly respect user consent, and honor opt-out preferences stored within Tessitura.

Solution

We collaborated with The Neon Museum to create a fully customized solution that bridged Tessitura and ActiveCampaign, their new email marketing automation service. To help both systems exchange data, we used Prospect2, an application that provided an interface and functions to easily build and maintain data synchronization. 

Our team, consisting of a project manager, solution architect, and developer, utilized additional tools, including also Twilio, to create an automated messaging system tailored to the Neon Museum team's needs.

Integration and Data Management

Developed SQL views within Tessitura for dynamic user lists based on specific visitor behaviors and preferences. Configured triggers in Prospect2 to automate personalized emails using these lists, pulling relevant data from Tessitura and linking it to pre-designed templates in ActiveCampaign. Ensured compliance with data privacy regulations.

Personalized Messaging Automation

Created customized workflows in ActiveCampaign. Used Prospect2 triggers to schedule automated mailings at specific times and based on visitor actions. Including post-visit follow-ups, emergency SMSs related to weather-related closures or delays, donation thank-you messages, membership expiration notifications, know-before-you-go emails, and more.

Collaboration and Communication

Maintained consistent communication using Zoom, Basecamp, Slack, and email, ensuring all team members stayed aligned on project timelines, deliverables, and overall progress. Delivered training sessions, equipping the team with the skills to independently create, manage, and optimize automated campaigns for future marketing efforts.
